New Data Import Wizard

One of the most common questions new StockTrack users ask is "How can I get my current data into StockTrack?"  Starting with the next version of StockTrack, the answer is "By using the Wizard within StockTrack."  This new tool will make the process of converting and importing shareholder and certificate information from other systems much easier.

Various types of data formats such as Excel spreadsheets, FoxPro, dBase, and ASCII files can be imported into StockTrack.  In order to use the wizard, add a company and leave the company in Setup Mode.  Then, select Maintain/Import Wizard.  The Wizard will walk you through the steps to map your data to StockTrack, validating, and import your data. Warnings or errors are listed in a report.

The import can be run as many times as necessary so that you can fix the source data, refine your mapping and refresh the results.

Glossary of Corporate Stock Terms

We have compiled a glossary of general corporate stock-related terms we feel will be especially useful if you are new to the transfer business.

Following are a few of the terms.  The complete list can be found on our website or by clicking here.

Beneficial Owner - A Beneficial Owner is a person who enjoys the benefits of ownership even though the certificate registration may be in another name.  Some of the generally accepted indications of beneficial ownership include: (1) the right to vote or control the voting of the securities; (2) the right to transfer the securities or control their transfer; (3) the right to receive income from the securities or control the disposition of such income; and (4) the right to receive or control the disposition of the proceeds in liquidation.

Common Stocks - The basic form of equity ownership in a corporation.

Control Ticket - Documentation of a stock transfer required for SEC logging of transfer transactions usually including an identifying ID for the transaction as well as Date and Time Received; Transaction Type: Routine or Non-Routine; Item Count; How Received (Mail, FedEx, etc.)

CUSIP Number - CUSIP is an acronym for Committee on Uniform Securities Identification Procedures. It is a unique nine-digit identifier assigned to each series of securities.

FAQ of the Month

Q: How do I print labels from my StockTrack data?

A: Mailing labels can be printed by selecting Mailing Labels from the Reports menu.  Labels can be selected to print the certificate or mailing address found in the shareholder file (or both).

You can select shareholders based on ownership conditions, whether or not they should be sent advertising mail, as well as other criteria.  A choice of two standard Avery label formats is available.  NOTE: Several new label formats will be available in the next release of StockTrack.

Reports | Export Merge is another way to generate data for labels.

The Export Merge data files generated by StockTrack can be used by Microsoft Word, Microsoft Excel and many other programs. There are several options to filter and select data for the data file you wish to generate.  Some of these options are:

• Shareholders receiving Cash Dividends - to send checks or notify of a dividend for instance.

• Shareholders receiving Stock Dividends

• Shareholders in the last Proxy file

There are several other options as well.

Once the file is generated, follow your word processor instructions to use this data file or review the list with Microsoft Excel.
